Data Collection, Analysis, and Coding
Generally, the basic data comes from your HRIS system or your payroll system. This data is typically: name, Social Security number, address, hire date, termination date, employee status, and hours worked each month.
Medical Coverage Elections – EBS will download this information from your insurance carrier and merge it with your basic data. This lets us know which employees and dependents were covered under the medical plan.
Data Analysis – Incorrect data can lead to filing penalties and IRS audits. Our trained data analysts will review your data for reasonableness. We also run an end-of-year comparison to employees who received a W-2 to ensure no employees were left out of the ACA database and minimizing your risk of non-filing penalties.
EBS Completes Your 1094-C and 1095-C Forms – Unlike other vendors, EBS completes your forms for you. IRS regulations are complex, and answering questions incorrectly could put you at risk for an IRS audit.

EBS Mails Your 1095-C Forms to Employees – EBS will mail all 1095-C forms to your employees and non-employees.
EBS Electronically Files Your 1094-C and 1095-C Forms with IRS – EBS has developed the mandated IRS AIR software necessary to electronically file your forms with the IRS. There is no need for EBS clients to have their own TCC code – EBS submits the filings for you! EBS provides you with the IRS Receipt ID and your filing status.
EBS Will Support You in the Event of an IRS Audit – Because we are confident in our filing accuracy, EBS promises to support our clients in the event of an IRS audit to explain the data, calculations, and methodology used to prepare forms 1094-C and 1095-C. EBS assumes no liability for any filing penalties or employer shared responsibility payments imposed by the IRS for non-compliance.
